Food Truck Information

FOOD TRUCK APPLICATION ACCEPTANCE POLICY:

Completion and submission of the application for participants to the 2018 Wine, Cider & Food Truck Festival, as well as any fees are due by September 1, 2019. We will not process your fees unless you have been accepted. Please note that submission of your application does not guarantee acceptance into the festival. We reserve the right to turn down applications (and return fees) based on the number of applications received and overall variety of applications. Additionally, we will take your menu into account to provide a unique experience for attendees by ensuring variety. We will not accept any applications without payment. Please submit a photo of your food truck with your application. 

FEES:

Food Trucks (Savory) $300.00; After September 1 $350.00; Money Orders only payable to Events and Concessions, Inc.
Food Trucks (Sweet) $250.00; After September 1 $300.00; Money Orders only payable to Events and Concessions, Inc. 
All Vendor fees are non-refundable once accepted.  

DEADLINE:

All applications, money order and picture of your food truck must be submitted by September 1, 2019. 

SET-UP:

Saturday, September 28th from 8:00AM to 9:00AM
All additional vehicles MUST be moved out of the festival grounds by 9:00AM on the day of the festival. Those that don't comply will be given a warning and if the vehicle isn't moved, it will be towed at the vendor's expense. Necessary inspections will begin prior to opening.

MENU CHOICES:

List all menu items with prices you would like to sell at the festival. Please be as specific as possible. We recommend limiting your menu to 4-6 items for quick service! We suggest you offer a sampler platter or sample sizes for attendees who want to try several trucks, or "graze'~ which is what many guests like to do at a festival.

BEVERAGE POLICY:

Sale of soda and water are allowed. 12 oz. can soda $2.00, 16 oz. bottled water $2.00. 

SIGNAGE:

Signs and menu should be professional in appearance and legible to all during the festival operational hours. Signage with visible and clear pricing is required.

ICE:

If you would like to order ice for the event 40 lb. bags of ice are $10.00. Ice must be ordered and paid for prior to the festival. 

UTILITIES:

Trucks must be self-sufficient; electricity and water will not be supplied. Trash receptacles will be provided. 

CLEAN UP:

All vendors must make sure their designated space is clear of all trash and/or debris. The Vendor is responsible for leaving the vendor area in the condition in which it was originally received. Spaces needing to be cleaned after the festival will result in prohibition of future festival participation. All vendors will be released after the crowd disperses and management provides safe exit routes. 

WEATHER:

The festival will be held rain or shine. This is an outdoor event; be prepared for any type of weather. 

CERTIFICATE OF INSURANCE:

All food truck vendors participating must have $1,000,000 of liability insurance per event. Upon acceptance to the Festival, you will be forwarded additional information regarding insurance requirements for the specific event.

REQUIREMENTS:

You will be responsible to be open during the entire festival. There will be NO tear down prior to 5:00 pm, even if vendor is sold out. You must be professional and have a well-maintained food truck appearance. Food Truck vendors must have courteous and friendly personnel. 

ADVERTISING:

All food trucks will assist with advertising this festival on their website, social media and by passing out postcards at other events. 

HEALTH/FIRE PERMITS:

All food vendors are required to obtain the necessary temporary food permit with the Dutchess County Health Department. They can be reached at 845-486-3404 or www.DutchessNY.gov. We encourage you to complete this process at least a month before the festival. Your food truck will be required to have a minimum of one fire extinguisher that is accessible and available for visual inspection. Extinguishers must have a minimum rating of 2-A: 10-B: C or better with current inspection tag. 

SMOKING:

There is no smoking in and around your food truck area.
